Requests must include:

Timescales
Response Deadline: Within one calendar month from the date of receipt
Extension: Up to 2 additional months for complex requests (user must be informed within 1 month of receipt)
Fees
SARs are free. However, a ‘reasonable fee’ may be charged for:
- Manifestly unfounded or excessive requests
- Additional copies of data already provided

Responses will include:
- Copy of the data in a commonly used format (e.g., PDF)
- The purpose of processing
- Data categories
- Data recipients
- Retention periods
- Information about rights (rectification, erasure, complaint)
- Source of data (if not collected from data subject)
- Details of any automated decision-making
Verification
We will verify the identity of the requestor before disclosing any information.
Record Keeping
All SARs and responses will be recorded in the SAR Register and retained for a minimum of 3 years for compliance purposes.
